Solutions – Surgeries, clinics and private practices
Who answers the phone while you’re with a patient?
Someone has been up all night with toothache and rings your practice at eight in the morning. By then you’ve already got your gloves on, so the agent books them into the first free slot. What’s wrong, they’ll tell you in the chair.

The problem
Where the money slips away
Four situations in which this line of work most often loses a customer. You’ve probably had at least one this week.
One nurse, three jobs
The same nurse assists, takes payments and answers the phone. While she’s holding the suction, the phone can ring all it likes. The agent takes over the phone and she stays with the patient.
Urgent, after hours
Toothache doesn’t check the clock, and dogs don’t only go lame on weekdays. Using rules you’ve set, the agent recognises a call that sounds urgent and puts it through to your number for urgent calls or emails you a message straight away. It doesn’t make its own assessment or give advice.
Questions that don’t need a doctor
How much is a check-up, do I need a referral, should I come for a blood test on an empty stomach, are you open on Saturdays, do you see children. The answers haven’t changed in years, yet they still take up several hours a week on the phone.
The patient who doesn’t turn up
An empty hour with a specialist, a psychotherapist or at physio is an hour nobody pays for. The confirmation and a reminder the day before arrive by email and on WhatsApp, with a link to cancel. Anyone who can’t come cancels in time, and someone else takes the slot.
Sample conversation
What it sounds like on the phone
An ordinary call, the kind you get on a Tuesday around noon.
Hello, I’ve had toothache for two days. Have you got anything today?
I’m sorry it hurts. There’s a slot today at 14:15 with Dr Pavlović. Does that suit you?
Yes, the sooner the better.
I’m booking you in for today at 14:15. Just tell me your full name.
Dragana Kostić. The number’s the one I’m calling from.

Common questions
What people ask us most
Does the agent give medical advice?
No. For an appointment it asks only for the name, number, service and time, and it doesn’t ask about symptoms or a diagnosis. It doesn’t recommend medicine or treatment, for people or for pets. Any medical question it passes to you, as a message or a transferred call.
What about patient data?
For an appointment the agent asks only for a name, a phone number, the service and the time. If a patient mentions their symptoms themselves, that stays in the recording and transcript, which only you and we can see, and we delete them after 90 days. We sign a data processing agreement with medical practices.
