Product 03 – Booking

One calendar for the phone, the website and the front desk.

The agent books while the customer is still on the line, the website handles anyone booking at 23:00, and you put in the person who pops in to ask whether there’s room on Friday. It all ends up in the same schedule, marked with where it came from, so nobody has to ask “who booked this, then?” any more.

Book an appointment from the other side of the desk

This is the page your customers open. They don’t need an account or an app, and on a phone they’re done in half a minute.

Capabilities

What Nicra Booking takes care of

01

The same hour is never given out twice

Whether the customer phoned, booked on the website or dropped in, the appointment goes into the same schedule. An hour taken in one place is taken everywhere, so you don’t get two people turning up at 17:00 for the same chair.

02

Shows up in the calendar you already use

Google on Android, Apple on iPhone, Outlook on the office computer. You add the Nicra calendar to yours with one link, and with every email about a new, moved or cancelled appointment your colleague also gets an invitation their phone adds straight away. The link works one way: you enter Tuesday’s parents’ evening at 18:00 in Nicra as time off, and the agent stops offering that hour to anyone.

03

Every service takes as long as it takes

For each service you set how long it takes, what it costs, who does it and how long a break is needed afterwards to clean up and get ready for the next person. That’s why a colour that takes an hour and a half can’t be squeezed into the half hour between two haircuts.

04

Confirmation straight away, reminder the day before

Both arrive by email and on WhatsApp, where people are looking all day anyway. Each one has a link the customer can use to move or cancel the appointment, so anyone who can’t make it cancels with one click instead of just not turning up, and the hour goes back on offer for someone else.

05

Customers recognised by their number

Whether they phoned, booked on the website or dropped in, Nicra remembers them by their phone number. When you enter an appointment, you see straight away when they were last in and how many appointments they’ve had, so you don’t have to leaf through the notebook under the counter to see when Ana was last in.

06

More people, more locations

Every hairdresser and every doctor has their own schedule and services, so Iva doesn’t get haircuts if she only does colour. If you have two salons or two practices, you open the second as a separate business on the same account and switch between them with one click.

Common questions

What people ask us most

Can I keep the calendar I already use?

You can. You add the Nicra calendar to Google, Apple or Outlook with one link and check your schedule where you’re used to. Your phone refreshes that calendar on its own, though Google sometimes takes a few hours, while colleagues get an invitation with every booking email that goes into their calendar straight away. The link works one way: Nicra doesn’t see what you put in your own calendar, so you block time off in Nicra.

What if two customers call at the same time for the same slot?

Whoever says “yes” first gets it. The hour is held as soon as the agent offers it and the customer agrees, so it’s no longer offered to the second caller, even though both calls are going on at the same time.

Can customers cancel on their own?

Yes, they can cancel and they can reschedule. The link in the confirmation is all it takes; they don’t have to ring you or create an account. The freed-up hour goes straight back on offer.

Does this work without the phone agent?

It does. Customers book through your page, and anything you arrange by phone you enter by hand. It’s worth most when your schedule is filled by the agent on the phone and the chatbot on your website. Without them it’s a good calendar, but one you keep up yourself.

A calendar fills up most easily when you’re not the one filling it.

The agent answers people who call, the chatbot replies to people who write on your website, and Nicra Booking puts it all into one schedule. We’ll show you how that would look with your services and opening hours.
